Context
Camp Quality relies on its platform to support camps across Aotearoa, but the existing system was making this harder than it needed to be.

Behind each camp is a significant amount of coordination. Regional teams and volunteers need to manage registrations, capture important information, and ensure each child is supported safely and appropriately.

The existing system made this difficult. It was built on outdated software, with limited flexibility and increasing maintenance challenges. Everyday tasks such as managing registrations, accessing key information, and coordinating volunteers often required manual work or external tools.

For families, the experience was also challenging. Registration processes were not always clear or easy to complete, adding friction at a time when families were already dealing with a lot.

At the same time, the organisation needed better visibility of its work, both to support delivery and to demonstrate impact. The platform needed to better support volunteers, reduce administrative burden, and improve how information was captured and used.

Approach
We worked with Camp Quality to understand how camps are delivered in practice and shape a platform that better supports that work.

We began with a discovery phase, working through workshops and discussions with Camp Quality to understand how the platform was being used and where the main challenges were.

This included looking at how families register, how volunteers manage camps, and how information flows through the organisation. From this, we identified key areas for improvement, including simplifying registration, reducing manual processes, and improving how data is captured and used.

We structured the work into clear areas, focusing on improving the public website, streamlining registration and application processes, supporting camp organisers with better tools, and improving reporting and visibility at a national level.

Delivery was iterative, allowing changes to be tested and refined over time. A strong focus was placed on ensuring the platform works in real-world conditions, supporting volunteers and staff without adding unnecessary complexity.

Impact
The platform provides a more reliable and supportive foundation for delivering camps, reducing administrative burden and improving the experience for families and volunteers.

The updated platform makes it easier for families to register and provide important information, with clearer, more accessible forms that work well across devices.

Volunteers and organisers now have better tools to manage camps, with role-based dashboards that surface the information they need and support more consistent processes. This reduces manual work and allows more focus on supporting children and families.

At a national level, improved reporting provides better visibility of activity and impact, supporting planning, funding, and continuous improvement.

Privacy and safety have been strengthened, ensuring sensitive information is handled appropriately throughout the process.

Overall, the platform better supports the people delivering and participating in camps, while providing a stronger foundation for the organisation’s ongoing work.
